General Description of Duties Initial salary may be up to 15% above the minimum salary based on verified related education, experience, and training above the minimum requirements.This is client intake work in the Probation Division providing support functions and/or specialized clerical work maintaining probation records.NOTE: The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position. The Job Description Questionnaire (JDQ) reflects a more detailed description of the position. Neither the job description nor the JDQ constitutes an employment agreement. Both are subject to change as the needs of the County and requirements of the job change.ESSENTIAL DUTIESFront Desk/Receptionist. Answers multi-line phones, routes calls, takes messages. Greets visitors in a professional manner and directs them to sign-in. Input into electronic log time of arrival and officer's name. In the absence of a probation officer, may generate payment vouchers. Assists with copying and distribution of correspondence, including faxes and receipts for payments. Conducts and records alcohol checks and payments. Performs other related duties as required.Performs new client intake and case initiation. Assists other technicians in photocopying and preparing new client packets. Follows office procedures for creating intake folders for newly assigned probation defendants by ensuring all areas are completed prior to setting initial appointments. Generates and prints FCIC/NCIC and JIS criminal history reports for newly assigned probation defendants. Forwards intake packages to appropriate staff. Initiates process for closing defendant case files after probation has been successfully completed. Records/logs files on electronic log.Provides general office/administrative support. Monitors operation of general office equipment such as facsimile machine, photocopies and initiates service calls for repair. Follows up to ensure service is performed timely and effectively. Maintains returned mail log and creates report for distribution to appropriate staff. Serves as staff liaison to Facilities Management for surplus equipment removal, structural repairs and/or additions, and file storage.OTHER IMPORTANT OR MARGINAL DUTIESNone.DIFFICULTYDuties are performed under general supervision based upon established office policies and procedures to meet program objectives. There are daily mandated deadlines for reports, close-outs. Shifts in attention may result from diversion to collections, telephones, etc cetera. Judgment must be used in making significant adjustment to unusual situations for work that is broad in scope and intricate, requiring coordination of efforts.RESPONSIBILITY:Supervision ReceivedWork involves the application of standard office and County policies and procedures the employee acts within the scope of established practices and procedures.Supervision of OthersNon-supervisory.INTERNAL AND EXTERNAL CUSTOMER CONTACTEmployee has frequent contact externally and internally.EQUIPMENT AND TOOLS USEDPersonal computer, word processing software, specialized software.WORK ENVIRONMENT AND PHYSICAL DEMANDSWork requires is mainly indoors at a desk in front of a video display terminal.KNOWLEDGE, ABILITIES AND SKILLSKnowledge of personal computer with word processing and spreadsheets. Knowledge and skills in basic and some customized criminal justice computer software and Excel. Knowledge and certification of FCIC/NCIC. Ability to plan and organize work. Ability to establish and maintain effective working relationships with departmental personnel. Ability to make arithmetical calculations accurately and quickly. Ability to follow oral and written instructions. Ability to type and communicate clearly. Skilled in the use of adding machines and calculators. Ability to relate to people on a one-on-one basis with tact, diplomacy, and courtesy.MINIMUM QUALIFICATIONSRequires and high school diploma and two years of related work experience or an equivalent combination of training and experience. Necessary Special Requirements:None.Selection Guidelines:Formal application, rating of education and experience; oral interview and reference check, and drug testing.FLSA STATUS: Non-Exempt.
